Privacy policy

Who we are

This website is run by Sparks Taekwondo Ltd, a company registered in England and Wales (company number 16108923). We are responsible for the personal information collected through it under UK data protection law (UK GDPR, the Data Protection Act 2018 and PECR). We are a small club and have not appointed a data protection officer. For any question about your information, email info@sparkstkd.com or call 07599 319403.

What this policy covers

This policy covers visits to this website, free trial bookings made through it and enquiries sent from it. It does not cover the records of students who join the club; members and their parents or guardians can ask us about those at any time. We don't take payments or send marketing emails through this website.

What we collect and why

If you call, email or message us, we receive your name, contact details and whatever you tell us. We use this to reply to you, because it is in our legitimate interest to answer people who contact us.

If you book a free trial, the form on our Book Free Trial page is provided by DojoExpert, the system we use to manage classes. It collects the details the form asks for, such as your contact details and your child's name and age. We use these to arrange the trial, put your child in the right class and contact you before the session, as steps you have asked for before joining.

When you visit the site, our host, Vercel, records basic technical information such as your IP address, browser and the pages requested. This is needed to deliver the site and keep it secure. Our pages also use Google Fonts, and the Location and Contact pages show a Google map, so your browser connects to Google, which receives your IP address. Google may set its own cookies when the map loads.

If you accept cookies, we use Google Ads conversion tracking to see whether a visit from one of our ads led to a booking or enquiry. We only see totals, not who you are. This relies on your consent, and nothing is set unless you accept.

We don't ask for sensitive information, such as health details, through the website. You don't have to give us any information, but without contact details we can't reply to you or arrange a trial. We don't make automated decisions about you, build profiles of you or sell your information.

Children

The booking form should be filled in by a parent or guardian when booking for a child. If you are under 13, please ask a parent or guardian to contact us for you. Parents and guardians can use the rights below on their child's behalf.

Cookies

When you first visit, we ask whether you accept cookies. Advertising cookies are only set if you say yes, and declining doesn't change what you can see or do on the site. You can change your mind at any time using the Cookie settings link at the bottom of every page, or block cookies in your browser settings.

We store two small things in your browser that the site needs: your choice of light or dark look (sparks-theme, kept until you clear it) and your cookie choice (kept for up to 12 months). If you accept, Google sets advertising cookies with names starting _gcl, which last up to 90 days. Google explains how it uses information from sites like ours at policies.google.com/technologies/partner-sites, and you can manage the ads Google shows you at myadcenter.google.com.

Who we share it with

We only share information with the services we use to run the website: Vercel (hosting), DojoExpert (trial bookings), Google (fonts, maps and, with your consent, ad measurement) and WhatsApp (if you choose to message us there). Google and WhatsApp also use some information for their own purposes under their own privacy policies. We may also share information if the law requires it, or to protect someone's safety or deal with a legal claim.

Some of these providers are based outside the UK, mainly in the United States. Where information goes abroad, the transfer is covered by safeguards recognised under UK law.

Keeping it safe and how long we keep it

The site uses a secure, encrypted connection, and only people who need booking details to run the club can see them. We keep enquiries and trial details only as long as we need them to deal with your enquiry or trial, then delete them. If you join, your trial details become part of your membership record. Our host keeps technical logs for a short period under its own policies.

Your rights

You can ask for a copy of the information we hold about you, and ask us to correct it, delete it, limit how we use it, stop using it where we rely on legitimate interests, or send it to you in a usable format. Where we rely on your consent, you can withdraw it at any time. Some rights only apply in certain situations; if we can't do what you ask, we'll explain why.

To make a request, email info@sparkstkd.com or call 07599 319403. It's free. We may ask you to confirm who you are, or that you are a child's parent or guardian. We will reply within one month, or tell you if a complicated request needs up to two months more. You also have the right to complain to a data protection authority.

Other websites

We link to Instagram, Facebook, WhatsApp, Google Maps and British Taekwondo. We aren't responsible for how those sites handle your information, so please read their privacy policies.

Changes

We may update this policy if the website or the services we use change. Any changes will appear on this page.
